Attendance & Cancellation Policy
MISSED CLASS POLICY
ABSENCES & MAKE-UPS
We understand unplanned occurrences happen- especially with little ones. For your convenience, we allow cancellation of classes and make-ups.
–Students swimming once per week receive ONE complimentary make-up per month that will not expire. Make-up lessons allotted per month is based on the frequency of enrollment.
-To cancel a class you must submit a “future absence” through the parent portal at least one hour before the start of the scheduled class. Phone calls to report a future absence are not permitted.
-Only actively-enrolled students can take advantage of make-up lessons and cannot be used in place of their regularly scheduled class.
-We do not honor absences or complimentary make-ups for single-lessons.
-Make-up lessons can only be booked after the scheduled absence has occurred
RELIGIOUS/HOLIDAY CLASS ABSENCES & MAKE-UPS
The SwimJim family is proud to have clients of many faiths that observe many religious holidays. In observance of these special occasions we will offer a complimentary make-up.

EXTENDED MEDICAL CLASS CANCELLATION & MAKE-UP POLICY
In those unfortunate occurrences where more than one day is needed for a medical cancellation we allow extended absences.
-Only tuition credits are offered, no refunds for future classes.
-A letter from a doctor or hospital explaining the student is not able to swim for a period of time is required. However, a specific diagnosis or any medical information is not necessary out of respect for your privacy.
-In case of prolonged absences we require you to drop your sessions on the parent portal. When your child is ready to return it will be our pleasure to re-enroll them.
-For the convenience of all of our clients and those waiting for a spot, we do not hold class spaces when your child is not registered.
IMPORTANT INFORMATION on CANCELLATIONS, VACATIONS & ILLNESSES
Your child has a reserved time for his or her class. Please understand the instructors are there to teach your children even if your child does not show up. While SwimJim will do everything possible to find the perfect fit for you, it is your responsibility to schedule your lesson in a time that fits your child’s schedule. We would be delighted to change classes for you at the beginning of the next session if needed. If you need to withdraw your child for an extended period of time due to illness or travel, please call the office for guidelines. If you choose not to follow these guidelines, your child will be removed from the class roster and you will need to reschedule subject to availability when you return.
SHORT-TERM CANCELLATIONS (1 to 2 classes)

SWIMJIM, INC. CANCELLATIONS
If SwimJim must cancel a class, we will schedule a Complementary Splash-In at your convenience. In the event we experience a teacher illness or a problem with a pool/rental facility, we will make every effort to contact you prior to your class. However we may not be able to let you know until class time. If a substitute teacher is available, the class will be taught as scheduled and no makeup lesson will be given.
ROLLOVER POLICY & CANCELLATIONS
Billing occurs on the first of every month. If you wish to discontinue your lessons please submit a drop request through the customer portal by the last day of the current month. Ex. if you do not wish to swim in February please submit a drop by January 31st otherwise you will be billed for February on February 1st.
Monthly tuition is based on the number of classes available in a calendar month. Rates will vary depending on how many days are offered in any given month. SwimJim does not charge for Holidays that we are closed. After the first initial charge you will be put on our recurring billing list and will continue to be automatically billed until you request a drop date through the customer portal.
All automatic debits will be charged automatically at the beginning of every month for the current month.
You may stop your lessons at any time by submitting a drop request in the customer portal prior to the first day of the month. (Ex: If you wish to withdraw from December you need to let us know by November 30th.)
Notice of withdrawal must be done through the parent portal.
Please note that your card will continue to be debited until we receive your notice of withdrawal.
Automatic debit paperwork must be signed virtually on our customer portal prior to the first lesson. If the policy has not been virtually accepted will not be allowed to enter the pool.
Please note: SwimJim reserves the right to cancel / change certain class times or instructors as deemed necessary.
Makeup lessons will not be offered for holidays during which SwimJim schedules and conducts classes. We will close for Memorial Day, July 4th, Labor Day, the Thanksgiving Day weekend and a two-week span over the December holiday season. SwimJim will prorate those months accordingly.
