MISSED CLASS POLICY

ABSENCE & MAKE-UP POLICY
 
We understand unplanned occurrences happen- especially with little ones.  For your convenience, we do allow cancellation of classes and Make-ups.
 
-For those swimming with us one time a week, ONE complimentary makeup is allowed per month.
 
-For those swimming with us twice a week, TWO complimentary make-ups are allowed per month.
 
-To cancel a class you must email Notification@swimjim.com at least one hour before the start of the scheduled class.  For your convenience, phone calls to report that you will be absence from a class is not permitted.
 
-”It is our pleasure to grant a make-up depending upon the availability of space in the requested class.”
 
-Only actively-enrolled swimmers can take advantage of Make-up sessions
 
-Make-ups are valid 30 days from the date of cancellation.
 
-We do not honor complimentary absence or make-ups for single-lessons.
 
 
RELIGIOUS/HOLIDAY CLASS ABSENCE & MAKE-UP POLICY
 
The SwimJim family is proud to have clients of many faiths that have varying religious Holidays.  In observance of this special occasions we do offer complimentary make-ups.

-For those swimming with us one time a week, ONE complimentary makeup is allowed per month.
 
-For those swimming with us twice a week, TWO complimentary makeups are allowed per month.
 
-To report that you will be absent from a class you must email Notification@swimjim.com at least 24 hours before the start of the scheduled class.  For your convenience, phone calls to cancel classes is not permitted.

EXTENDED MEDICAL CLASS CANCELLATION & MAKE-UP POLICY

In those unfortunate occurrences where more than one day is needed for a medical cancellation we do allow extended absences. 

-Only tuition credits are offered, no refunds for future classes.

-A letter from a doctor or hospital explaining the student is not able to swim for a period of time.

-We do not honor complimentary cancellations or make-ups for single-lessons.

-In case of prolonged absences we require you to drop your sessions on the parent portal.  When your child is ready to return it will be our pleasure to re-enroll them. 

-For the convenience of all of our clients we do not hold classes.

IMPORTANT INFORMATION on CANCELLATIONS, VACATIONS & ILLNESSES

Your child has a reserved time for his or her class. Please understand the instructors are there to teach your children even if your child does not show up. While SwimJim will do everything possible to find the perfect fit for you, it is your responsibility to schedule your lesson in a time that fits your child’s schedule. We would be delighted to change classes for you at the beginning of the next session if needed. If you need to withdraw your child for an extended period of time due to illness or travel, please call the office for guidelines. If you choose not to follow these guidelines, your child will be removed from the class roster and you will need to reschedule subject to availability when you return.

SHORT-TERM CANCELLATIONS (1 to 2 classes)

SWIMJIM, INC. CANCELLATIONS

If SwimJim must cancel a class, we will schedule a Complementary Splash-In at your convenience. In the event we experience a teacher illness or a problem with a pool/rental facility, we will make every effort to contact you prior to your class. However we may not be able to let you know until class time. If a substitute teacher is available, the class will be taught as scheduled and no makeup lesson will be given.

ROLLOVER POLICY & CANCELLATIONS

Billing occurs on the first of every month. If you wish to discontinue your lessons please give us written notice prior to the first day of the previous month.

Monthly tuition is based on the number of classes available in a calender month. Rates will vary depending on how many days are offered in any given month. SwimJim does not charge for Holidays that we are closed. After the first initial lesson you will be put on our recurring billing list and will continue to be automatically billed until we receive a 1 month written notice of cancellation.

All automatic debits will be charged automatically at the beginning of every month for the next month. If you start during a current session you will have missed our rollover period therefore you will be required to pay for the following session as well in order to hold your child’s class.

You may stop your lessons at any time by giving a written notice prior to the first day of the previous month via email. (Ex: If you wish to withdraw from December you need to let us know before the 1st of November.)

Notice of withdrawal must be done through the parent portal.

We will contact you within 48 hours to confirm your cancellation request

Please note that your card will continue to be debited until we receive your notice of withdrawal.

Automatic debit paperwork must be signed and turned in on or before the first lesson. If it is not turned in you will not be allowed to enter the pool.

Please note: SwimJim reserves the right to cancel / change certain class times or instructors as deemed necessary.

HOLIDAYS

Makeup lessons will not be offered for holidays during which SwimJim schedules and conducts classes. We will close for Memorial Day, July 4th, Labor Day, the Thanksgiving Day weekend and a two-week span over the December holiday season. SwimJim will prorate those months accordingly.
